WHAT YOU’LL DO:
Administrative Support:
- Provide comprehensive administrative support to the directors, including managing their schedules, arranging appointments, and handling travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as required by the directors.
- Maintain accurate records and files, both electronic and hard copy, ensuring easy retrieval of information when needed.
Document Management:
- Organize and maintain the directors' files, records, and documentation in an efficient and systematic manner.
- Ensure confidentiality and security of sensitive information, exercising discretion and professionalism in handling confidential materials.
- Assist in the preparation and distribution of board meeting agendas, minutes, and other relevant documents.
Communication Liaison:
- Serve as the primary point of contact for internal and external stakeholders seeking to communicate with the directors.
- Screen and prioritize incoming communications, including emails, phone calls, and mail, and respond or redirect as appropriate.
- Facilitate effective communication between the directors and other departments, team members, clients, and stakeholders.
Meeting Coordination:
- Coordinate and schedule meetings, conferences, and appointments for the directors, ensuring optimal use of their time.
- Prepare meeting agendas, presentations, and supporting materials, and distribute them in a timely manner to participants.
- Attend meetings as required, take minutes, and accurately record key decisions and action points for follow-up.
